1Information HenBase Collects

HenBase collects information that users enter into the app in order to operate the platform and provide farm management features. This includes:

• Account information — name, email address, and account credentials
• Farm names and farm details — location, notes, and farm-level settings
• Houses and pens — names, capacity, and housing configuration
• Flocks and bird counts — breed, age, counts, and flock history
• Egg collection records — daily production, crate counts, and broken or damaged eggs
• Feed usage records — feed types, quantities, schedules, and purchase records
• Mortality records — bird losses, dates, and cause of death information
• Vaccination and health records — treatment logs, vaccination schedules, symptoms, and health notes
• Sales and customer records — sale types, quantities, prices, and payment status
• Expense records — categories, amounts, vendors, and payment tracking
• Inventory records — item names, quantities, stock levels, and vendor details
• Worker records — worker profiles, roles, attendance, payroll, and advance records
• Tasks, reminders, and notes — farm notes, to-do items, scheduling reminders, and note attachments
• Photos or attachments — any images or files uploaded by the user to farm notes or records
• App settings and preferences — currency, units, date format, and notification preferences

2How Data Is Used

Information collected through HenBase is used only to operate the app and serve users. Specifically, data is used to:

• Operate HenBase and provide its core farm management features
• Display dashboards, summaries, and performance reports
• Track poultry production across farms, flocks, and time periods
• Manage and organize farm records on behalf of the user
• Calculate financial summaries, production totals, and farm insights
• Support task scheduling, reminders, and note management
• Provide customer support and respond to user inquiries
• Improve app reliability, performance, and feature quality
• Maintain app security and detect unauthorized access

3Data Storage

User records entered into HenBase are stored securely using the app's backend database and storage systems. Regarding how your data is stored:

• All records are associated with your HenBase user account
• Data may be stored in cloud-based systems used to operate and host the app
• Uploaded files or photo attachments may be stored separately from text-based records using file storage systems
• HenBase uses reasonable technical and organizational safeguards to protect stored data
• Access to stored data is restricted to authorized systems and personnel

While HenBase uses industry-standard practices to protect your data, no cloud-based system can be guaranteed 100% secure. Users should maintain their own records and backups of critical farm data.

4Data Access and Control

Users have full control over the data they enter into HenBase. You can:

• View all records you have entered into the app
• Add new farm, flock, production, financial, and worker records
• Edit records where supported within the app
• Delete records from within the app where the delete option is available
• Export records and generate reports for your own records
• Request full account and data deletion via Settings or our Account Deletion page

To request full account deletion, visit Account Deletion or go to Settings → Data & Export → Request Account Deletion inside the app.

5Data Sharing

Data may be processed or accessed in the following limited circumstances:

• By service providers who help operate, host, secure, maintain, or support the app — bound by confidentiality obligations
• When required by applicable law, court order, or government authority
• To protect the safety, security, or rights of HenBase, its users, or the public
• With your explicit consent

HenBase does not share your farm records, financial data, or personal information with unrelated third parties for any commercial purpose.

6Data Retention

HenBase retains user data as follows:

• Active records are retained for as long as your HenBase account remains active
• Records deleted by the user are removed from active use within the app
• Some backup or system copies may remain temporarily after deletion for security, disaster recovery, or system stability purposes
• Legal or regulatory compliance may require certain records to be retained for a defined period
• Account deletion requests are processed according to the Account Deletion policy — typically within 7 business days

7Security

HenBase uses reasonable technical and organizational measures to protect information from unauthorized access, disclosure, alteration, or destruction. These measures include:

• Encrypted data transmission (HTTPS/TLS) between your device and our servers
• Secure cloud infrastructure with access controls and monitoring
• Restricted internal access to user data
• Regular security reviews and updates
